For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we are the data controller for personal data collected via this website.


What this policy covers

This policy explains what personal data we collect when you use our website, why we collect it, how we use it, who we share it with, how long we keep it, and your rights. It does not cover data processed inside client environments for service delivery; those arrangements are governed by client contracts and, where relevant, Data Processing Agreements.

  • Scheduling details (name, email, meeting preferences) when you book via a Calendly embed.
  • Newsletter/updates (if offered): your email address and preferences.

  • Usage data (pages viewed, links clicked, referral source, approximate location, device/browser).
  • Technical data (IP address, user-agent, timestamps).
  • Cookies and similar technologies for essential site functions and—only with your consent—analytics/marketing.

3.3 Data from third parties

  • If you arrive via a campaign link, we may receive UTM parameters from our ad/analytics tools.
  • If you interact with embedded content (e.g., a Loom video), that provider may receive information in line with their own policies.

Who we share information with (recipients)

We share personal data with trusted providers to run this website and handle your requests. Typical recipients include:

  • Web hosting & infrastructure: your website host (e.g., Hostinger) and related caching/CDN services [add Cloudflare here if used].
  • Email delivery: our domain email provider (for mail sent to/from hello@altomate.co.uk).
  • Forms & scheduling: our WordPress form plugin (e.g., WPForms/Fluent Forms) and Calendly for bookings.
  • Analytics/consent: Google Analytics / Google Tag Manager (if you consent), and our cookie/consent tool.
  • File storage/backups: secure cloud storage for site backups.

Each provider processes data under a contract and only as necessary to provide their service to us.


International transfers

Some providers may process data outside the UK/EEA (for example, in the United States). Where such transfers occur, we rely on appropriate safeguards, such as the UK International Data Transfer Agreement (IDTA) or the EU Standard Contractual Clauses with the UK Addendum, and risk assessments as required.


How long we keep data (retention)

  • Contact enquiries: up to 24 months after last interaction.
  • Scheduling records: up to 24 months after the meeting date.
  • Email updates (if offered): until you unsubscribe, then limited suppression records are kept to honour your choice.
  • Server/security logs: typically 12 months.
  • Contract/financial records: normally 6 years to meet legal obligations.

We may keep aggregated, non-identifiable analytics indefinitely.


How we protect your data

We use HTTPS, access controls, strong authentication for admin accounts, regular updates, least-privilege access for staff/contractors, and vetted third-party providers. While no method is perfect, we work to reduce risk and review measures periodically.


Your rights (UK GDPR)

You have the right to:

  • Access your personal data and get a copy.
  • Rectify inaccurate or incomplete data.
  • Erase your data in certain circumstances.
  • Restrict or object to processing in certain circumstances (including where we rely on legitimate interests).
  • Data portability for data you provided to us, where we process it by automated means and rely on consent or contract.
  • Withdraw consent at any time where we process data based on your consent (e.g., analytics cookies, email updates).

Our website and services are aimed at business users. We do not knowingly collect personal data from children under 16.
